About the Ideathon

It is clear that on the front lines of the response to the global pandemic, volunteers have made all the difference in the resilience of their communities and the medical sector at large. This Virtual Ideathon is an idea-based hackathon that brings together volunteers from across the world with the aim of further "Building Resilience Within Communities"

The virtual Ideathon is a three-day marathon, during which volunteer teams from major NGOs and volunteering organizations from around the world come together to develop sustainable and impactful solutions to challenges from some of the key themes of the global response to the COVID19 pandemic.

UAE Volunteers and IAVE invite all those passionate about making a difference to join this gathering of minds to build a stronger and better world.

What does the Ideathon hope to achieve?

The Ideathon aims to come up with actionable and scalable ideas that offer innovative solutions for challenges put forward to the contestants across three key themes of the global response to the pandemic

At the end of the Ideathon, each winning idea will be awarded a total fund of $25000 that will allow the implementation of their idea in the community.

The award will be given in a “Grant” form, and further details on this will be available over the coming weeks.

During the competition the participating teams will be asked to put forward a proposal outlining their proposed solution to a challenge announced on the day. A challenge will be announced for each of the three key subthemes on the 1st day of the ideathon:

Volunteerism to support the Vulnerable

Who can participate?

The Ideathon is looking for passionate teams of volunteers dedicated to supporting their communities. The event is open for organizations rather than individuals.

Participants from IAVE-affiliated organizations, NGOs or other third-sector organizations from across the world can take part in the event in their country or region. This will be a great opportunity to showcase ideas and potentially receive the support in need to make a difference in the world

When, Where, How?

WHERE

The Ideathon will be a virtual global event taking place over three days in October 2020.

WHEN

Each organization must complete and submit their registration before the deadline

Ideation, discussions, pitches will all be completed virtually between 13-15 October 2020.

How

An organization appointed staff person (focal point) must initiate the registration in the Virtual Ideathon registration system and he/she will be considered as the main focal point of contact.

Registration submissions will be reviewed and only 15 organizations will be selected to participate in the Virtual Ideathon, with 5 organizations competing in each subtheme.

The participating organizations will be selected based on their compliance with registration requirements and on their proven impact in volunteerism.

Over the course of the three days Ideathon, selected teams will attend workshops, mentoring sessions, and discussions around the Ideathon’s key themes to ultimately draft and pitch their proposals for actionable solutions. The final proposals are then submitted to a panel of judges.

What is the participation Timeline?

Online Registration is open for participation in the Virtual Ideathon for all IAVE-affiliated and prominent volunteering organizations, NGOs or third sector organizations who have a volunteering mandate.

How to Get Started?

  1. Each organization appoints a focal point to lead their registration process and submit all the organization’s related registration forms and documents. The official language for all submissions and participation is English

  2. The focal point register team members and submit their documents

    • Each team must be comprised of 5 members
    • All team members must be at least 18 years old
  3. The focal point register E-Coach who does not form part of the team but whose function is to support team members during the Virtual Ideathon

  4. Emirates foundation will screen and evaluate the Organizations’ Submissions

  5. Emirates Foundation will announce the shortlisted organizations/teams to confirm participation in the Virtual Ideathon

  6. Shortlisted organizations/teams virtually participate in the three days Virtual Ideathon

Frequently asked questions

What are the required documents for registration?

The team’s focal point must submit the following documents when registering:

  • The Organization’s valid Trade License
  • Organization bio or profile
  • Organization Logo (if any)
  • Any key organization Achievements/Awards Evidence (Certificates, Articles, Formal Documents, etc.) in PDF Format
  • Focal Point passport copy and his/her formal personal photo
  • Organization Leader/CEO/Executive Director passport copy and his/her formal personal photo
  • All team members passport copies and their formal personal photo
  • Coach passport copy and formal personal photo
How will the Virtual Ideathon unfold?
  • Participants will receive the associated Challenge for each subtheme on Day 1 of the Virtual Ideathon.
  • Each team will have 24 hours to finalize and submit their idea (Challenge Solution)
  • All teams will pitch their ideas to the judging panel on Day 3 of the Virtual Ideathon.
  • Judges will select the team with the best idea as the winner of each subtheme/sector.
How many organizations can participate?

15 organizations will be selected to participate in the Virtual Ideathon, with 5 organizations competing in each subtheme.

The participating organizations will be selected based on their compliance with registration requirements and on their proven impact in volunteerism.

Each organization can register and participate with one team only to compete in only one of the subthemes/sectors

What are the technology requirements?

Shortlisted organizations will need to guarantee:

  • High speed internet
  • Digital literacy for all team members
  • Full accessibility to the Zoom application throughout the event
What language can be used for participation?

English is the official language for registration, participation, idea/solution submission, and pitching. All teams must arrange and guarantee their own interpretation support if needed.

How the organizations will be selected to participate?
  • Each organization must complete and submit their registration before the deadline.
  • Each organization can register and participate with one team only to compete in only one of the subthemes/sectors
  • Registration submissions will be reviewed and only 15 organizations will be selected to participate in the Virtual Ideathon, aiming at engaging 5 organizations per subtheme/sector.
  • Organizations will be selected to participate in the Virtual Ideathon based on the below:
    • Compliance with registration requirements (any incomplete registration will automatically disqualify the organization for selection)
    • Strong organization profile and proven impact in volunteerism or the third sector
      • Years of operation
      • Number of initiatives implemented
      • Level of local community involvement in projects and initiatives
      • Number of active volunteers
      • Achievements and awards received with evidence
      • Affiliations with professional organizations
      • Measures of progress and impact they use to pursue their mission (Performance Metrics)
      • Member of the International Association for Volunteer Effort (IAVE) – www.iave.org
    • A detailed comprehensive submission – 500 words – expressing how this participation will better help them serve the community
Are there registration fees to participate?

Registration is free for all organizations

What are team E-coaches and what do they do?

Each team must have one coach nominated by the team’s organization.

The team’s coach will:

  • Help the team brainstorm and generate ideas
  • Provide advice, feedback and guidance on the shape of their pitch
  • Keep an eye on the schedule and the deadline
  • Help choose a team representative to give the pitch
  • Help the team rehearse the presentation
  • Encourage the team and help members use their skills to help others

The team’s coach will NOT:

  • Do the work instead of the team (write a few lines or paragraphs of the proposal)
  • Directly contribute to the actual submitted proposed solution

Emirates Foundation will also nominate a group of specialized mentors to support the participating teams during the first two days of the Virtual Ideathon.

Who will be judging the pitches?

A panel of specialized judges will be allocated to oversee each sub-theme. Each group will judge the teams competing under its assigned subtheme.

A panel of global experts will support the judges in making their decisions.

Judges who are part of any participating organization will not be assigned on the subtheme where their organization is participating.

What are the judging criteria for pitches?

Judges will be judging pitches and proposals based on the below:

  • Originality of the idea
  • Clear Scope of Work, objectives, vision and mission
  • Feasibility of implementation and Commercial viability
  • Realistic and achievable action plan
  • Robust Sustainability Plan
  • Show high-level outline plan to implement the solution if awarded
  • Method of calculating success and impact
  • Clear outcomes and impact
  • Comprehensive SWOT Analysis
  • Thorough Competitive Analysis and Market Analysis
  • Structured Collaboration and Partnership plan
  • Well-defined Financial plan
  • Well-defined Marketing Plan
  • Innovative use of Technology
  • Submission of extra creative elements that include logo, slogan and other marketing elements
  • Organized presentation and confident approach
What are the awards?

What is the dress code of the 3-day event?

All participants commit to follow the dress code required by Emirates Foundation as per the below:

  • All Participants should dress modestly. Clothing should not be transparent, indecently exposing parts of the body or displaying offensive pictures or slogans or prints of a political nature
  • Participants are expected to follow the Business Casual dress code during the 3 days of the Virtual Ideathon while meeting/video calling with their team members and coaches, pitching, judging, and later during winners announcement.
